Finance Projects – Unit Coordinators

Context And Mission

We are looking for four coordinators for the Finance Projects Team.
Reporting to the Head of Finance Projects team, the Unit Coordinators will play a key role in supporting and managing the financial aspects of BSC's competitive projects. Each Unit Coordinator will oversee one of the different areas within the Finance Projects team, ensuring that policies and procedures are effectively implemented, and that economic planning, budget control, and reporting for research and institutional activities meet high standards. In this role, each coordinator will lead and support their team while also directly managing a portfolio of their own projects, as well as work closely with BSC researchers to ensure compliance with funding agency requirements and effective utilization of financial resources for project-related activities.

Key Duties

Unit Leadership and Coordination:
- Coordinate and guide the day-to-day operations of their respective finance project units, fostering an environment of reliability, efficiency, and collaboration.
- Work with project teams and Principal Investigators to monitor budgets, maintain project information in SAP, and prepare financial reports for funding agencies.
- Lead unit teams, ensuring clear communication, goal alignment, and performance monitoring.

Funding Compliance and Reporting:
- Ensure that administrative and financial reporting requirements for all active grants are met, including the preparation and submission of documentation required by funding agencies.
- Collaborate with external auditors to facilitate project audits, preparing and managing necessary financial documentation.

Resource Planning:
- Support the Principal Investigators in planning financial and human resource allocation across national and European-funded research projects.
- Monitor project budgets to ensure that spending aligns with projections, making adjustments as needed and keeping indirect cost rates updated.

Collaboration with Stakeholders:
- Act as a point of contact for external auditors, coordinating necessary documentation and supporting the audit process.
- Ensure project reporting is aligned with both BSC standards and the requirements of funding agencies.
- Collaborate with Principal Investigators on the financial aspects of project planning, including resource allocation and budget forecasts.

Operational Support and Reporting:
- Maintain accurate and up-to-date records in BSC’s SAP Business One project database.
- Support the development of policies and processes to improve the effectiveness of financial management within the finance project units.

Requirements

Education
- University degree in Business Administration, Finance, Economics, or a related field, or equivalent professional experience
- Master’s degree in Finance or Project Management is preferred.

Essential Knowledge and Professional Experience
- 5-8 years of experience, with at least 2 years in a similar financial coordination or project management role.
- Strong command of English and Spanish, with proficiency in Catalan or other languages as a plus.
- Familiarity with finance project requirements in public or research institutions.
- Advanced proficiency with Microsoft Office (Specially Excel).

Additional Knowledge and Professional Experience
- Experience coordinating or managing a team will be valuable.
- Experience with ERP systems (SAP Business One or similar).
- Proven experience working within an international environment, ideally in a research or academic setting.

Conditions

- The position will be located at BSC within the Management Department

- Duration: Open-ended contract due to technical and scientific activities linked to the project and budget duration
- Holidays: 23 paid vacation days plus 24th and 31st of December per our collective agreement
- Salary: we offer a competitive salary commensurate with the qualifications and experience of the candidate and according to the cost of living in Barcelona
